PAY BY INVOICE
If you or your organisation are set up to pay by invoice, please complete the form and add any specific invoice instructions (including any purchase order numbers if applicable) in the “Additional Information” section at the end of the form. Once you submit the form, it will take you to the payment page which you can ignore, and the booking will go through to our Delegate Relations team who will process your booking.

The Forum tries never to exclude individuals or organisations on the basis of ability to pay, although to continue our work we do depend on everyone who is able to contribute doing so. We set criteria for when reduced-price or complimentary tickets are offered, which we seek to apply to all. Those criteria are outlined under the options below.

FINANCIAL TERMS AND CONDITIONS: Cancellation policy is as follows: (1) cancellations 14 or more days before the event: £75+VAT cancellation fee per delegate; (2) cancellations less than 14 days before the event: no refunds. Promotion cancellation fee applies to all Five for Four offer places. Cancellations must be submitted via the website. If you are unable to submit your cancellation via the website then the cancellation must be notified in writing to the Westminster Energy, Environment & Transport Forum. No charge will be made for replacement delegates. Transfer of any confirmed booking between events is not possible. The organisers reserve the right to alter the programme and its format and change the speakers without prior notice. In respect of both the online and face to face formats of the conference, although best efforts will be made on behalf of the Forum we are not able to guarantee that the conference will be free of technical issues, and cannot be responsible for the ability of any individual technical set-up and equipment of individual delegates to be able to access video, audio or slides. If in doubt please consult Microsoft Teams Support before you make your booking. The Westminster Energy, Environment & Transport Forum is unable to grant extended credit and therefore must request that full payment be made within 30 days from the date of invoice; immediate payment on receipt of invoice less than 14 days before the event. Should payment not be received within the stated terms, the Westminster Energy, Environment & Transport Forum will apply an administration charge of £40+VAT.
RECORDING: The Westminster Energy, Environment & Transport Forum records all proceedings. Delegates consent for their questions and comments from the floor to be included in the recording sent out after the event. Any delegates wishing to take photographs or make audio or video recordings of any part of the event must first obtain permission from the Westminster Energy, Environment & Transport Forum with as much forward notice as possible, principally as a courtesy to speakers and other participants whose agreement will be sought. Delegates agree not to publish any portion of the proceedings they may have recorded without permission. If permission is granted this is on the strict understanding that only brief extracts will be used, that they will not be used in a misleading context and that the speaker and any organisation they represent, and the Westminster Energy, Environment & Transport Forum, are acknowledged.
CONDITIONS FOR ACCESS: All delegates are sent an invite link to receive the register within Microsoft Teams in the days prior to the event. The link to join the event is strictly for access by the delegate only. The Westminster Energy, Environment & Transport Forum events are only accessible to named delegates who receive email instructions to register for the event. The event can only be accessed and viewed online by the named delegate, and the content cannot be streamed to multiple people or access given to anyone else. The Westminster Energy, Environment & Transport Forum has the right to investigate through their online conferencing systems any case where access to the event is obtained by anyone else other than the named delegates on the booking. Where the Westminster Energy, Environment & Transport Forum finds evidence of illegitimate access to our events, an invoice will be issued to the organisation or individual for the full cost of a delegate place on that event. Failure to pay any invoice could result in the organisation or individual being restricted access to future events until the invoice has been cleared. Anyone who is found to have shared an invite link knowingly by publicising on social media and/or other means may be liable for the full cost of any non-paying person who accessed the event through the link.
DELEGATE INFORMATION: All delegate details will be kept for our records, but we will not share your contact details with any other company or individuals. The delegate list for the event (name, job title and organisation only) will be shared with attendees, sponsors and recipients of the transcript for networking purposes.
CONDITIONS FOR USE OF RECORDINGS: This recording is intended to provide a timely reference for interested parties who are unable to attend the event to which it refers. Anyone who intends to publicly use or refer to any quotes from the recording should make clear that speakers have not had the opportunity for any corrections, or check first with the speaker in question. If in doubt, please contact the Forum first.
